What Finance Leaders Tell Us

Why Most AP Automation Projects Disappoint. And Who We Partner With To Stop That

According to BILL's own research, ninety percent of US businesses still process payments through paper checks and manual approval workflows. The work is slow, the data is unreliable, and the cost shows up in places nobody is tracking until the audit. Here is the pattern we keep seeing.

 01.  Paper-based, manual financial back-office work

You moved most of finance to the cloud. AP is still printing checks. The accounting platform digitized the GL. The CRM digitized customer records. The HRIS digitized payroll. AP is still running on paper invoices, manual approvals, and physical checks because nobody owned the project to modernize it. The work happens, but it is not the work the rest of finance has become.

 02. Long approval cycles that delay payments

The vendor offered 2% net-10. You paid in 35 days. The invoice arrived on the 1st. It sat in someone's inbox until the 8th. It was forwarded to an approver who was on PTO. It got re-routed on the 14th. The approver had questions about the GL coding. By the time the check went out, the discount window had closed. Multiplied across the AP volume, this is a real number, and nobody is tracking it.

 03.Incomplete or missing invoice data

The vendor invoice arrived without a PO number. The cycle started over. Half the AP team's time is spent chasing missing data: PO numbers, GL codes, approver assignments, banking details, and tax forms. Each missing field creates an email thread that adds days to the cycle. The platform that should be running the workflow is actually running the email back-and-forth.

 04.  Disconnection between AP/AR systems and the accounting platform

You bought AP automation. You still re-key the entries into the GL. The AP platform automates the workflow inside itself. The integration to NetSuite, Sage Intacct, or QuickBooks was deferred to phase two. AP processes the invoice, executes the payment, and then someone manually enters the journal in the GL. The automation stopped at the system boundary.

 05.  Cash flow blindness from operating across multiple disconnected systems

The office of the CFO asks what cash will look like next week. The answer requires pulling data from AP, AR, the expense platform, and the bank. None of them speak to each other in real time. The cash position is a spreadsheet someone updates twice a week, and the conversation about cash strategy happens with stale data because the live data does not exist anywhere.

Four of these five problems are integration problems between BILL and the GL, between the AP workflow and the accounting platform, between the cash position and the live data. BILL solves the workflow. We connect it to the system that runs the rest of your finance.

What We Deploy

The Two Modules That Mid-Market Finance Functions Actually Need

01

BILL Reporting

BILL Reporting is the visibility layer above BILL's transactional modules. It pulls live data from across the platform, including invoices in flight, payments scheduled, AR collections expected, expense activity, and vendor payment patterns, and surfaces it in dashboards and forecasts that finance leadership can act on.

02

BILL Expense Tracking

Known on the platform as BILL Spend & Expense, originally developed as Divvy and now fully integrated into the BILL platform, is the corporate card and expense management product. The module covers issuing physical and virtual cards to employees, real-time spend controls, automatic expense categorization at the moment of transaction, receipt capture via mobile app.

Our Differentiation

The Zanovoy Advantage

Most BILL partners are accounting firms or resellers who hand off the platform once the license is sold. The configuration is generic. The post-go-live work is treated as someone else's problem. We approach the engagement differently, as one team accountable for everything from the licensing decision through the configuration, the integration, the rollout, and the optimization work that pays for the platform after launch.

01

Customized Solutions and System Integration

We offer specialized services including data migration, custom workflows, and report creation that align with every business operation. Using tools like zConnect for customized integrations.

02

Proactive 24/7 Support

We provide a proactive 24/7 support service and monitoring to ensure system uptime and long-term optimization, ensuring you never need to worry.

03

Simplified Licensing & Onboarding

We help you choose the right BILL module or service for your business, with clear pricing, no guesswork, and a smooth start.

04

Faster, Smoother Implementation

Unlike traditional resellers, we also deliver the rollout, with proven strategies to accelerate time-to-value and reduce risk.

05

One Team for Everything

From purchasing and setup to training and ongoing support, we’re your single point of contact: no handoffs, no delays.

06

Strategic Optimization Built-In

We don’t stop at launch. We work with you post-go-live to continuously improve performance and ROI.

Most BILL partners hand off the platform once the license is sold. We stay accountable from the licensing decision through the integration, the rollout, and the optimisation work that pays for the platform after launch.

Our Process

Four Phases. One Outcome. Cash Flow You Can Actually See

Cash visibility is the outcome. The four phases below are the work that delivers it.

01

 EVALUATE

Typical: 1-2 weeks.

Is BILL actually the right platform for your AP volume, approval complexity, and operational scale? We weigh it against Coupa and your current AP process, pressure-test the case, and give you a straight read. No pressure to move forward.

02

LICENSE & SCOPE

Typical: 2-3 weeks.

As a license reseller, BILL license quotes are handled directly by Zanovoy as an implementation partner, bundled with the deployment. Module selection across BILL AP, BILL AR, Spend & Expense, and Cash Flow Forecasting. Integration architecture for the GL connection (NetSuite, Sage Intacct, or QuickBooks). Vendor data cleanup plan and approval workflow design.

03

IMPLEMENT

Typical: 4 to 12 weeks.

Configuration of the BILL modules in scope, vendor data migration, GL integration build via native connectors or zConnect for custom flows, approval workflow setup, and user training designed for AP team ownership without admin dependency. Cutover. The senior consultants who scoped the engagement stay accountable through delivery, even when day-to-day build moves to the implementation team. Handoffs happen; the accountability does not.

04

MANAGE

Ongoing.

Managed services, ongoing optimization, configuration evolution as the business changes, new module rollouts, and advisory support for AP and finance leaders maturing on the platform.

Phase 01 takes 1-2 weeks. We weigh BILL against Coupa and your current AP process, pressure-test the case, and give you a straight read. No pressure to move forward.

FAQ

Frequently Asked Questions

Straight answers. No sales language.
Why should we work with an implementation partner instead of buying directly from BILL?
Most resellers simply hand off the software once the license is sold, but we provide a single point of accountability from the licensing decision through configuration, rollout, and post-launch optimization. We ensure the platform is customized to your business operations rather than providing a generic setup.
How long does it typically take to get the platform up and running?
The evaluation and licensing phases generally take between three and five weeks. The core implementation, which includes configuration, data migration, and integration builds, typically spans 4 to 12 weeks depending on complexity.
Can you integrate BILL with our existing accounting platform?
Yes, we specialize in building stable connections between BILL and major systems like NetSuite, Sage Intacct, or QuickBooks. We use native connectors or our own zConnect tool to create customized integrations, ensuring your automation doesn't stop at the system boundary.
Does the platform support corporate cards and expense management?
Yes, through the BILL Spend & Expense module (formerly Divvy), which is fully integrated into the platform. This allows for issuing physical and virtual cards, real-time spend controls, and automatic expense categorization via a mobile app.
Is there support available after the initial implementation is finished?
We offer ongoing managed services and proactive 24/7 support to ensure long-term system optimization and uptime. We don't stop at launch; we stay engaged to help your configuration evolve as your business changes and matures on the platform.
